Email Subscribers Lists & Newsletters
We use the 'Newsletter' plugin to manage subscribers and send emails for both CCEH and CIHD. This plugin is used for both
- One-off emails
- Automated emails (CCEH has automated content update reminders sent to directors and CIHD has automated reminders for the seminar series talks).
- Automated emails are accessed under 'Newsletters' ➜ 'Automated Newsletters'.
There are two admin menu items similarly named: 'Newsletters' and 'Newsletter' on the the CCEH website. The 'Newsletters' menu item references some Newsletter post types representing old newsletters created before we had the Newsletter plugin. Those Newsletter posts are all legacy and new ones should not be created. Instead, any new correspondence or newsletters should be created using the Newsletter plugin.
CIHD/CCEH leaders/directors can be set up to create/edit newsletters themselves (Shannon Elf has done this - though finalization and actually sending was done by HSC Dev).
TO DO:
CIHD Seminar Series reminders need to be updated each month.
The CIHD site has automated newsletters set up to send reminders for the CIHD seminar series. The newsletters are named: Seminar Series Reminders (Day Before) and Seminar Series Reminder (Week Before). These newsletters are mostly automated, but for ease of styling, there is one section where the next seminar post ID needs to be updated. See the example below.
In the past, I use the sent email reminder as a reminder to update the template to be ready for the next one.
Steps to update seminar series reminder to display correct upcoming seminar:
-
- Once the seminar reminder is delivered,
- browse to the next upcoming one (seminar series),
- find its post ID (you can easily get this by clicking 'edit' on the event and the ID will be in the URL as 'post' parameter i.e. `...post=4150`), and
- update the value for the 'Single Post' block in the Automated Newsletter template (see screenshot below for where this ID is used).

FYI: The template is set up like this because The Events Calendar add-on for the Newsletter plugin allows for smart sending if it finds an event within a giving timeframe BUT The Event Calendar block does not give the ability to show the speaker image and the custom fields that define the presentation title and speaker name and such. Thus, to make a more informative block, the 'Single Post' block is being use.
